Expiration Tracker
Monitor products nearing expiration, act before items become a loss, and connect expiring inventory directly to your sale card workflow.

Overview
The Expiration Tracker gives you a live view of everything in your store that is approaching or past its expiration date. Status is calculated automatically:

| Active | Expiration date is more than 3 days away |
| Expiring Soon | Expiration date is within the next 3 days |
| Expired | Expiration date has passed |
Status is read-only — it updates automatically each day based on the expiration date you entered. You cannot set it manually.
Check the tracker daily. Items move from Active to Expiring Soon without any notification unless you have alerts configured in Settings.
Adding Items
- 1Select your store from the header selector.
- 2Navigate to Expiration Tracker.
- 3Click the "+ Add Item" button.
- 4Fill in the required fields: Product Name, Location (e.g. Dairy Cooler), and Expiration Date.
- 5Optionally add: Quantity, Department, and Notes.
- 6Click Add Item to save.
If your store has a barcode scanner configured, you can scan a product barcode to pre-fill the product name and UPC automatically.
Editing Item Details
Every field in the expiration tracker table is editable directly — no separate edit form or modal required.
- 1Click on any cell in the table (Product Name, Location, Quantity, Expiration Date, or Notes).
- 2The cell becomes an input field. Type your correction.
- 3Press Tab to move to the next editable field in the row.
- 4When you click outside the row (or Tab past the last field), the changes save automatically.
- Amber row highlight — a row turns amber while it has unsaved changes. The highlight disappears once the save completes.
- Escape to discard — press Escape while a cell is active to discard the change and restore the original value.
- Status is read-only — the Status column is calculated automatically and cannot be edited inline.
Updating Item Status
When you physically remove an item from the shelf, use the row action menu to update its record. This closes the loop and removes it from the active list.
- 1Find the item in the tracker table.
- 2Click the action menu (three dots or similar) at the end of the row.
- 3Choose "Mark as Removed" if the item was pulled from the shelf without being logged as waste.
- 4Choose "Mark as Wasted" if the item was discarded — this automatically creates a waste entry in Waste Management.
- 5Confirm the action in the dialog that appears.
"Mark as Wasted" creates a linked waste log entry. You can review it in Waste Management under the date the item was marked.
Bulk Upload from Excel
If you track expiration dates in a spreadsheet, you can import them all at once.
- 1Click "Bulk Upload" on the Expiration Tracker page.
- 2Download the sample template to see the required column format.
- 3Fill in your data. Required columns: Product Name, Expiration Date. Optional: Location, Quantity, Department.
- 4Upload your completed file.
- 5Review the import preview — each row is shown before it is committed.
- 6Click Import to add all items.
- 7After import, click any cell to correct details inline without re-uploading.
Dates must be in YYYY-MM-DD or MM/DD/YYYY format. Other date formats may not parse correctly.
Filtering and Searching
Use the filter bar above the table to narrow down what you see:

| Status | Show only Active, Expiring Soon, or Expired items |
Click Clear Filters to reset all filters at once.
Converting Items to Sale Cards
Move expiring items directly into a sale instead of discarding them.
- 1Filter the tracker to show Expiring Soon items.
- 2Select the items you want to put on sale using the row checkboxes.
- 3Click "Create Sale Cards" (or similar action button).
- 4A new sale is created with those products pre-loaded.
- 5Set prices, choose a template, and print.
Converting an item to a sale card does not automatically remove it from the tracker. Once the sale ends and the items are cleared, mark them as Removed in the tracker.
